How to create an ACORD 125 in HawkSoft with Claude, step by step
- Ask Claude for the ACORD 125. In Claude Desktop with FreeBird installed, type Create an ACORD 125 for the client's name, and add use FreeBird.
- Answer Claude's question. Claude looks the client up in HawkSoft first. If the client has more than one policy, it asks which one the ACORD is for, so tell it, for example the workers comp policy.
- Review and approve the plan. Claude shows the plan: fill the ACORD 125 from what HawkSoft already has, attach a copy to the client file, save a PDF on your computer and add a log note. Reply yes to go ahead.
- Let FreeBird fill the form. FreeBird opens HawkSoft and fills the ACORD 125 in real time while you keep your hands off the keyboard. When it is done, a banner says to head back to Claude.
- Open the saved PDF. Claude's recap includes an open folder link. Click it, and File Explorer opens with the PDF selected, under Documents, FreeBird, ACORD Forms.
- Check the form before you send it. Page through the PDF and fill anything HawkSoft did not have, such as the producer's license number, and confirm the answers on the yes or no questions page.
One sentence starts the ACORD 125
Ben's goal in the video is simple: an ACORD 125 in HawkSoft, with the PDF saved on his computer, in less than three minutes. All he types into Claude is Create an ACORD 125 for Ironwood Contracting, and use FreeBird.
FreeBird is the app that connects Claude to HawkSoft and lets Claude control it at high speed. Besides ACORD forms, it adds new prospects, makes certificates in bulk, finds who is renewing next and checks policies. FreeBird is made by WhereToBegin.ai and is not a HawkSoft product.
Claude finds the client and shows the plan first
Before anything happens in HawkSoft, Claude does a little research. It found Ironwood in HawkSoft as Ironwood Contracting LLC, saw two policies, and asked which one the ACORD was for. Ben answered the workers comp policy.
Then came the plan: create the ACORD 125 filled from what HawkSoft already has, attach a copy to the client file in HawkSoft, save a PDF on this computer and add a log note, followed by Shall I go ahead? FreeBird never takes over HawkSoft without saying what it is going to do first, so you approve every plan.
Watching the form fill in real time
Ben said yes about a minute and 15 seconds into the video. From there HawkSoft is controlled by Claude, with no clicking or typing from Ben, and the speed on screen is the real speed.
Within seconds the filled ACORD 125 was attached to the client, the log was saved, and a banner said FreeBird was done in HawkSoft and to head back to Claude. Claude's recap confirmed the ACORD 125 had been created and offered a link to open the folder on the computer.
What the finished PDF looks like
Clicking open folder briefly opens Chrome, which hands off to File Explorer with the new PDF selected. Page one is the filled applicant section. Page two has the owner's contact information from HawkSoft. On page three, FreeBird selected no for the yes or no questions, page four lists the agency customer ID, and page five has the producer's name, with the license number left for you to add.
From typing the request to a finished, attached and saved ACORD 125 took less than three minutes. As with any form, give it a read before it goes to a carrier, especially the yes or no answers and anything HawkSoft did not have on file.
